VocalEssence Gala Volunteers

VOLUNTEERS

In addition to our incredible committee, VocalEssence requires a significant amount of volunteer assistance during the event. Volunteers are able to participate by bidding in the silent auction, provided a buffet dinner, and offered parking validation for free parking in the Hilton Ramp. SATURDAY & SUNDAY EVENT SET UP

Saturday, October 3 from 10 AM-4 PM and Sunday, October 4 from 9 AM-3 PM

Event setup volunteers will help move things over to the Hilton, set up displays for the silent auction, and prepare registration materials. Lunch provided each day.

MOBILE BIDDING SIGN-UP TABLE & MERCHANDISE PACKING/CHECKOUT

Sunday, October 4 from 4:00-10:00 PM

Volunteers will be stationed at a table near registration with tablets. Volunteers will support guests in entering mobile phone numbers into the system and provide guests with signup instructions. Volunteers will then work with Auction Harmony to pack each guest’s winning items from the auctions. Once all items are packed, volunteers will stay to help with Guest Checkout and Item Pick Up. Volunteers will greet guests, collect signed receipts, and retrieve items.

RAFFLE HELPER & MERCHANDISE PACKING/CHECK OUT

Sunday, October 4 from 4:00-10:00 PM

Volunteers will record purchases on retail tablets. Volunteers should work in pairs to manage and record transactions accurately. Volunteers will then work with Auction Harmony to pack each guest’s winning items from the auctions. Once all items are packed, volunteers will stay to help with Guest Checkout and Item Pick Up. Volunteers will greet guests, collect signed receipts, and retrieve items.

SILENT AUCTION HELPER

Sunday, October 4 from 4:00-10:00 PM

Volunteers will circulate throughout the silent auction space assisting bidders with the bid process on tablets. They will also report any technological issues to Auction Harmony staff. Volunteers will then work with Auction Harmony to pack each guest’s winning items from the auctions. Once all items are packed, volunteers will stay to help with Guest Checkout and Item Pick Up. Volunteers will greet guests, collect signed receipts, and retrieve items.
